Admissions

Run an admission cycle from the first application to the last waitlist offer, on a form your own office designs.

Who it serves

Built for the people who run it

  • Admissions chairs and committees
  • The admissions office
  • Programme coordinators
  • Applicants
The problems it addresses

What usually prompts the call

  • The application form changes every cycle, and each change waits on a vendor.
  • Shortlists, merit lists and waitlists are rebuilt by hand at every round.
  • Interview scheduling across centres and panels is managed in spreadsheets.
  • Applicants telephone the office because they cannot see where their application stands.
Capabilities

What it does

Which of these are included in a deployment is set out in the proposal for that institution.

Form builder

The admissions office defines its own sections, fields, qualification levels and required documents for each programme and cycle.

Applicant portal

Applicants register, complete the form, upload documents, review and declare, pay the application fee and track status from one account.

Online fee payment

Application fees are collected through an integrated payment gateway, with a finance view for reconciliation.

Scoring and selection stages

Weighted scoring criteria and cut-off stages produce the shortlist from the rules the committee sets.

Interviews

Locations, slots, panels and panel assignments are set up by the office; shortlisted applicants book their own slot.

Merit lists and seats

Merit and rank lists are prepared against a seat matrix by programme and reservation category.

Offers and waitlist

Offer letters are generated from templates; acceptances are tracked and the next candidate is promoted as offers lapse.

Online counselling

Courses and campuses are awarded by merit and applicant preference across multiple campuses.

Applicant communication

Templated email, with SMS and WhatsApp messaging where enabled for the institution, plus scheduled reminders.

Reports and export

Cycle dashboard, standard reports and exports for the academic system that takes over after admission.

Example workflow

How it runs, start to finish

An illustration of a typical sequence. Your own process is configured during implementation.

  1. Set up the programme, cycle, fees and application form.

  2. Applicants apply, upload documents and pay online.

  3. Score applications and publish the shortlist.

  4. Schedule interviews; applicants book their slots.

  5. Prepare the merit list against the seat matrix.

  6. Issue offers and let the waitlist promote automatically.

Questions

Frequently asked

Can it be adapted to our ordinances and regulations?

Much of what varies between institutions is configuration that your own staff control: the admission form, scoring criteria, fee structures, grade scales and curves, elective rules and feedback forms. Where a regulation needs something the standard modules do not do, we assess it as customised development and say so in the proposal.

Which systems does it integrate with?

Payment gateways, biometric attendance devices, email, SMS and WhatsApp messaging, and single sign-on are covered in the integration directory, which states for each whether it is built in, configured per institution, or assessed per project. Integration with another institutional system is assessed case by case.

What happens after we request a demonstration?

We reply to arrange a time, and ask which offices and workflows matter most so the demonstration covers those. You do not need to prepare anything. If you have used the requirements builder, you can attach its summary to the request.

What does it cost?

It depends on the number of students or participants, the modules you take and the deployment model. Tell us those three and we will give you a figure.
