The platform

OltErp modules

OltErp is a multi-tenant student information system and learning management system with twenty-two integrated modules, also deployed standalone for single institutions. They run on one database and one student record, so a fee receipt, an attendance mark and a transcript all draw on the same data instead of three systems that have to be reconciled later. Admissions office

Admission and enrolment

The modules that carry the highest load for the shortest window, and the ones most often judged on whether they held up in peak season.

Online Admission

Application forms configurable for personal details, programme choices, entrance test scores, academic history from class X through post-graduate and professional degrees, statements of purpose, work experience and sponsorship. Brochure, advertisement, eligibility criteria and refund policy are uploaded by the institution. Documents and photographs are submitted online.

Registration payment

Application fee collection integrated with secured payment gateways including HDFC, ICICI, UTI and BillDesk. A confirmation email is issued to the applicant on successful completion of the transaction.

Ranking and shortlisting

The admissions office sets weightages against academic qualifications, marks, category and other parameters, and a consolidated rank list is generated from them rather than assembled by hand.

Online Counselling

Choice filling and seat allocation across rounds, following the rules your admission policy sets, with an auditable record of each allotment.

GD and interview scheduling

Schedules generated per interview centre from centre preference, batch size and batches per day, and adjustable by hand when an applicant changes date or centre.

Applicant correspondence

Personalised email to registered applicants for shortlisting, interview calls and admission offers, plus a queue for applicant requests to correct address, marks or date of birth.

Registrar, program office, examination cell

Academics and examinations

Student Portal and Virtual Classroom

One login for students to see attendance, internal and final results, fee dues, course material and institutional notices — which removes most of the queue at the counter.

Faculty Portal

Attendance marking, internal assessment entry, grade submission and course file management, with teaching workload visible to the head of department.

Program Office Portal

Timetabling, section allocation, elective mapping, examination scheduling and the day-to-day academic administration that sits between the registrar and the departments.

Examinations and results

Internal and external marks capture, moderation with an audit trail, result processing, grade cards, transcripts and convocation lists.

Olt-LMS

Learning content management: course material, assignments, assessments and online quizzes, linked to the same enrolment record as attendance and results.

Biometric Attendance

Device-captured student and staff attendance feeding directly into academic records and into payroll, without a separate reconciliation step.

Dean of executive education

MDP and executive programmes

Management development programmes do not behave like degree programmes, and forcing them into the same structure is why they usually end up on a spreadsheet outside the ERP. OltErp runs them on their own terms while keeping them on the same database.

Programme and batch calendar

Short-duration and modular programmes scheduled independently of the academic session, with their own start dates, durations and residential requirements.

Corporate nominations

Organisations nominating participants, with billing to the sponsoring employer rather than the individual, and participant records that do not pollute the degree student register.

Programme-specific fees

Fee structures per programme and per participant category, including corporate rates and foreign currency, flowing into the same accounting ledgers.

Faculty engagement and honoraria

Session allocation across internal and visiting faculty, with the teaching record feeding payroll and honorarium processing.

Feedback and certification

Session and programme feedback collected in-system, and certificates issued against verified attendance and completion.

Revenue reporting

Programme-wise revenue, cost and participant numbers — the figures executive education is actually held to at a board or governing body review.

Fees

Fee heads defined per institution — academic, computer, hostel, mess, library and others. Fee structures assembled per programme from those heads, instalments with amounts in rupees or foreign currency and due dates, and acceptance by cash, demand draft, RTGS or payment gateway. Receipts issued on collection.

Fee reporting

Defaulter lists, late payment charges, head-wise distribution of fee received, and collection against budget — the report the finance officer is asked for at every governing body meeting.

Financial Accounting

Ledgers, vouchers, receipts, payments, purchases and statements, reconciling against fee collection without re-entering a single transaction.

Payroll

Salary processing for teaching and non-teaching staff, driven by the attendance and leave already recorded in the system.

HR and Leave

Employee records, leave balances, electronic leave application and approval workflows across departments.

Stores and Inventory

Purchase, indent, issue and stock position across departments, laboratories and hostels.

Campus services

Hostel, transport, placement and support

Hostel and Mess

Room allotment and residential facility management, integrated with academics, finance and purchase so occupancy and mess cost are visible against fee heads.

Transport

Routes, vehicle records, contractual taxi services, student transport allocation and logging, linked to the corresponding fee head.

Placement

Recruiter records, eligibility filtering against live academic data, drive scheduling and offer tracking — which is also the source for placement figures in accreditation and ranking submissions.

Complaints Management

Maintenance, academic and general grievances raised by students, faculty and staff, with clear ownership and escalation so nothing closes unanswered.

Dispatch and Post Office

Inward and outward correspondence logging, dispatch registers and tracking for institutional mail.

Conference Management

Paper submission, review, delegate registration and scheduling for institutional conferences and seminars.

Accreditation and statutory reporting

NAAC, NBA, NIRF and AISHE

Accreditation submissions are rarely difficult because the data is unavailable. They are difficult because the data lives in fifteen places and disagrees with itself, and a peer team asks for the working.

Because admission, attendance, examination, fee, faculty and placement records sit on one database, the figures that these frameworks ask for — student-teacher ratio, enrolment against sanctioned intake, pass percentages, placement performance, fee collection — are drawn from live institutional data. The same audit trail that produced the number can be shown to the people asking for it.

We also support institutions through NBA accreditation preparation directly.

Beyond the standard modules

Customised development

No two institutions have the same ordinances. Where a statute, an examination regulation or a state government return requires something the standard modules do not cover, we build it against the same database rather than bolting on a separate application.

Integrations we are commonly asked for include payment gateways, biometric devices, SMS and email gateways, the institution's bank, and existing library or identity systems that the institution intends to keep.
